We are looking for an Accounting Specialist 2 to join our Accounts Payable Unit and to help drive our agency towards accomplishing this mission/vision. Key responsibilities ● Perform work of medium difficulty providing support to customers related to agency payments. ● Review and submit invoice payments in the Arizona Procurement Portal (APP) and Arizona Financial System: AZ360. ● Create encumbrance documents and transfers within AZ360. ● Manage and research vendor accounts. ● Collaborate with the Purchasing team to direct and participate in invoice payments. ● Ensure the quality of work products is acceptable and accurate. ● Ensure all deadlines are met. This position is available for remote work on a full-time basis within Arizona (including virtual office arrangements). Job Duties: ● Prepare/verify/analyze/process: financial invoice payments, contract payments, refund expenditures, AZ360 encumbrances, agency transfers, and other activities related to these tasks (like fixed assets, cancellation of warrants, troubleshooting system issues, etc.). ● Learn and work in our 2 main systems: Arizona Procurement Portal (APP) and AZ360 (Arizona's Financial Management System). ● Utilize two-way and three-way matching for oversight and entry of all payments/transfers, which includes determining appropriate funding codes. ● Responsible for ensuring that the quality of the work products is acceptable and accurate; and ensuring that deadlines are met and standard work is followed. ● Address issues timely by utilizing initiative, collaboration, and management skills to solve root causes and ensure long-term resolution. ● Manage, research, and reconcile supplier/vendor accounts, including reviewing statements consistently throughout the year. ● Facilitating and assisting suppliers to update their profiles. ● Successfully initiate and maintain professional relationships with our suppliers. ● Maintaining current agency and statewide policies and training required. Knowledge, Skills & Abilities (KSAs): Knowledge Comprehensive understanding of ● Generally Accepted Accounting Principles (GAAP). ● Accounting principles, practices, concepts, methods and techniques of government accounting. ● Internal control structures, and fiscal management Working knowledge of ● Arizona Revised Statutes (ARS) related to finances. ● State of Arizona Accounting Manual (SAAM). ● Arizona Procurement Portal (APP). ● AZ360 Financial system. ● Confidentiality. ● Microsoft Office and the G-Suite/Workplace Skills ● Customer service, to effectively and professionally interact with a wide range of internal and external customers. ● Excellent verbal and written communication (staff, senior management and the public). ● Effective employee performance management, prioritization of team activities, and workload management. ● Excellent organization and time management for tracking activities and/or projects. ● Resourceful with researching/gathering of facts and information; and ● Continuous process improvement. Selective Preference(s): ● One-year of accounting experience in purchasing, accounting, data processing, or related accounting activities. ● Proficient in Arizona Procurement Portal for oversight and entry of invoices in assigned areas related to payments. ● High School Diploma or GED, 2- or 4-year degree in Accounting, Finance or Business.
