Position Summary
The Patient Care & Supply Coordination Technician plays a pivotal role in ensuring that nursing and ancillary departments have the right supplies at the right time, while also providing exceptional front‑line support to patients and visitors. This hybrid role blends receptionist duties, clerical accuracy, and inventory stewardship to keep the daily flow of clinical operations smooth and efficient.
Key Responsibilities
- Serve as the first point of contact for patients, families, and staff, answering phones, greeting visitors, and directing inquiries with professionalism and empathy.
- Maintain and update patient records, ensuring confidentiality and compliance with all regulatory standards.
- Schedule appointments, coordinate referrals, and manage the flow of information between clinical teams and administrative offices.
- Establish, inventory, and replenish adequate supply levels—including exchange carts and par carts—to support daily activities for nursing and ancillary departments.
- Document all supply replenishment activities, entering issues, credits, patient‑care equipment usage, and associated charges into the electronic system.
- Process patient and supply charges for interfacing and day‑close activities, ensuring accurate financial reconciliation.
- Monitor, rotate, and remove outdated or overstocked supplies, inspecting for damage and documenting disposal or redistribution.
- Enter supply replenishment par‑level forms, including Pyxis inventory updates and exchange cart logs, to maintain optimal stock levels.
- Verify inventory and control levels for all nursing and ancillary departments, conducting regular audits to prevent shortages.
- Physically stock and pick needed supplies for delivery to nursing stations, ensuring timely distribution throughout the facility.
- Promote arenaflex’s mission, vision, and values in every interaction, adhering to established service behavior standards.
- Flexibly float to other departments as needed, based on business requirements and personal competency.
- Participate in on‑call rotations when scheduled, providing critical support during peak periods or emergencies.
- Perform additional duties as assigned, contributing to continuous improvement initiatives and team projects.
Minimum Qualifications
- Education: High School Diploma or GED required.
- Experience: Prior experience in a healthcare front‑desk, administrative, or supply‑chain role is preferred but not mandatory.
- Technical Skills: Proficiency with computer systems, electronic health records (EHR), and basic inventory management software.
- Communication: Strong oral and written communication abilities; capacity to interact courteously with patients, families, and multidisciplinary staff.
Preferred Qualifications & Attributes
- Demonstrated ability to multitask in a fast‑paced environment while maintaining attention to detail.
- Experience with medical supply inventory systems such as Pyxis or similar automated dispensing solutions.

Physical Requirements

- Visual acuity to read monitors, documents, and inventory labels.
