Position Overview

You will work closely with program managers, caseworkers, and technology specialists to maintain digital records, support communication workflows, and uphold the highest standards of confidentiality and data integrity.

Key Responsibilities

  • Enter, verify, and update client status records in the Statewide Client Service Center, ensuring that each entry reflects the most current production pipeline.
  • Monitor incoming emails, documents, and communications; log each item promptly in the arenaflex platform (formerly Monday.com) to guarantee traceability.
  • Follow program guidelines for the use of all required database systems, including arenaflex, CMS, CSG eConservation, HEARTWAP, LIHEAP, and In Demand, maintaining strict adherence to data entry protocols.
  • Organize and maintain both digital and paper participant files in accordance with program standards, guaranteeing compliance with agency policies and funder regulations.
  • Collaborate with program staff to streamline communication, enhance data flow, and promote consistency in service delivery.
  • Perform routine clerical duties such as filing, preparing mailings, providing phone coverage, and supporting administrative tasks as needed.
  • Maintain consistent availability for remote work, attending virtual meetings, responding to emails, and completing assigned duties within agreed timelines.
  • Participate in all required staff meetings, supervision sessions, training workshops, and contractual briefings.
  • Engage in mandatory agency training and ongoing professional development opportunities to stay current with best practices.
  • Uphold strict confidentiality standards, safeguarding client information and organizational data at all times.
  • Perform related duties and special projects that support the overall mission of arenaflex’s Energy Services Programs.

Essential Qualifications

  • Associate degree or equivalent professional experience in a related field.
  • Minimum of two years’ experience in human services, social work, community outreach, or a comparable role serving diverse, low‑income populations.
  • Demonstrated ability to work independently in a remote environment while maintaining high productivity and accuracy.
  • Proficiency with standard office software (Microsoft Office Suite, Google Workspace) and comfort learning new digital platforms.
  • Strong written and verbal communication skills, with an emphasis on clear, concise documentation.
  • Excellent organizational abilities, attention to detail, and a commitment to data quality.
  • Ability to handle sensitive information with discretion and adhere to confidentiality protocols.

Preferred Qualifications

  • Bilingual proficiency in Spanish, enabling effective communication with Spanish‑speaking clients and partners.

  • Familiarity with energy assistance programs such as LIHEAP, CSG eConservation, or HEARTWAP.
  • Prior experience in a non‑profit or grant‑managed environment, including knowledge of compliance reporting.
