As a Customer Service Support Representative at arenaflex, you will be the trusted liaison for physician offices, hospital laboratories, patients, and internal partners. Job Summary

This full‑time (or part‑time, 20+ hours per week) remote position offers a dynamic blend of inbound and outbound communication, data management, and educational outreach. You will work Monday through Friday, 9:00 a.m. – 5:30 p.m. Eastern Time, with flexibility to adjust hours based on business needs. Compensation ranges from $15.00 – $35.00 per hour, complemented by a comprehensive benefits package that includes medical, dental, vision, life insurance, disability coverage, 401(k), employee stock purchase plan, paid time off, commissions, and performance bonuses.

Key Responsibilities

Customer Interaction & Support

  • Act as the primary point of contact between arenaflex, our diverse client base, and patients, ensuring every interaction reflects our commitment to excellence.
  • Resolve routine and complex customer inquiries regarding products, services, and test results via phone, email, chat, or web portal.
  • Maintain a courteous, friendly, and professional demeanor, adhering to arenaflex’s communication protocols and brand voice.
  • Gather, clarify, and confirm customer requirements, translating technical details into understandable solutions.
  • Provide product education, guiding customers through the ordering process, result interpretation, and follow‑up steps.
  • Qualify inbound leads, onboarding new customers who are interested in arenaflex’s diagnostic offerings.

Data Management & Compliance

  • Navigate multiple databases and laboratory information systems to research and resolve intricate issues.
  • Notify clients of test results promptly and accurately, ensuring confidentiality and compliance with HIPAA regulations.
  • Review test requisition forms for completeness, flagging discrepancies and coordinating corrective actions.
  • Maintain CRM data integrity, update medical records, and support internal documentation processes.
  • Participate in continuous‑improvement initiatives aimed at boosting customer satisfaction and operational efficiency.

Team Collaboration & Growth

  • Collaborate with cross‑functional teams—including clinical operations, IT, and quality assurance—to streamline workflows.
  • Share insights from customer interactions to inform product enhancements and training programs.
  • Engage in regular coaching sessions, webinars, and skill‑building workshops offered by arenaflex.
  • Adapt quickly to shifting priorities, demonstrating flexibility during peak periods or special projects.

Essential Qualifications

  • Education: High School Diploma or GED required; Associate’s or Bachelor’s degree strongly preferred.
  • Experience: Proven background in a customer service role, preferably within a contact‑center environment.
  • Industry Knowledge: Prior exposure to healthcare settings (physician offices, hospitals, or labs) is a significant advantage.
  • Technical Skills: Proficiency with Microsoft Office suite; familiarity with CRM platforms (e.g., arenaflex’s own system) and laboratory information systems.
  • Communication: Excellent verbal and written abilities, with a talent for active listening and clear articulation.
  • Personal Attributes: Strong customer‑service orientation, multitasking prowess, and the agility to manage changing priorities.
  • Language: Bilingual in English and Spanish is highly desirable.
  • Physical Requirements: Ability to pass a standardized color vision screen; flexibility to work overtime or alternate shifts when needed.

Preferred Qualifications & Skills

  • Experience with arenaflex’s proprietary CRM or similar platforms (formerly Salesforce.com).
  • Understanding of laboratory workflows, test ordering, and result dissemination.
  • Demonstrated success in meeting or exceeding service level agreements (SLAs) and key performance indicators (KPIs).
  • Capability to train and mentor new hires, fostering a collaborative learning environment.
  • Comfort with remote work tools such as video conferencing, virtual private networks (VPN), and secure file sharing.
