Position Summary

The Customer Service / Data Entry Representative at arenaflex will provide a wide variety of administrative and staff support services for our claims coordination team. This role is critical to ensuring the smooth processing of claims and maintaining accurate records that Healthcare providers, patients, and insurance partners rely upon. As a key member of our team, you will be responsible for entering claims information into our sophisticated claims management systems, following up on missing documentation, reviewing invoices for accuracy, and compiling comprehensive reports that drive informed decision-making across the organization.

This is a remote position, and arenaflex will provide all necessary equipment including a computer, monitor, and headset. You will only need to maintain your own high-speed internet connection (minimum 25 Mbps download and 5 Mbps upload speed recommended). We have invested heavily in our remote work infrastructure to ensure you have everything you need to succeed from your home office.

U.S. Eligibility Requirements

  • Age Requirement: You must be 18 years of age or older or demonstrate legal capacity to enter a contract in your state of residence.
  • Background Investigation: Must be willing to submit to a comprehensive background investigation. Any offer of employment is conditioned upon the successful completion of this background investigation.
  • Work Authorization: Must have unrestricted work authorization to work in the United States. arenaflex hires U.S. citizens, permanent residents, asylees, refugees, and temporary residents. Temporary residence does not include those with non-immigrant work authorization (F, J, H, or L visas), such as students in practical training status.
  • Exceptions: Exceptions to these requirements will be determined based on shortage of qualified candidates with a particular skill. Proof of work authorization will be required before employment.

Essential Duties and Responsibilities

As a Remote Customer Service & Data Entry Representative at arenaflex, you will play a vital role in our claims coordination operations. Your primary responsibilities will include:

  • Claims Data Entry: You will primarily be performing data entry of claims information into our proprietary claims management systems. This includes accurately inputting patient information, procedure codes, diagnosis codes, billing amounts, and insurance details. Speed and accuracy are essential as you will be processing a high volume of claims daily.
  • Missing Information Follow-Up: You will proactively follow up on missing information required to process claims. This involves communicating with healthcare providers, patients, and insurance companies via phone and email to obtain necessary documentation, coding corrections, or additional clinical information.
  • Invoice Review: You will review invoices to ensure accuracy and completeness. This includes verifying that billing codes match procedures performed, checking for duplicate submissions, validating insurance coverage, and ensuring compliance with contractual agreements.
  • Report Compilation: You will compile reports from our systems with claims information. These reports will be used by management, quality assurance teams, and executive leadership to assess performance, identify trends, and make strategic decisions about our operations.
  • Customer Service Support: You will respond to inquiries from patients, healthcare providers, and insurance companies regarding claim status, coverage questions, and general information requests. Professionalism and empathy are essential in all interactions.
  • Quality Assurance: You will participate in quality assurance activities to ensure accuracy and compliance with industry regulations, including HIPAA requirements and internal policies.
  • System Navigation: You will become proficient in multiple software systems including our claims management platform, customer relationship management (CRM) system, and various insurance portals.

Required Qualifications

To be successful in this role, candidates must meet the following requirements:

  • Education: High school diploma or equivalent (GED accepted).
  • Experience: 6 months to 1 year of relevant work experience in administrative, customer service, or data entry roles. Previous experience in healthcare, insurance, or claims processing is preferred but not required.
  • Computer Skills: Basic computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook). Must be comfortable learning new software applications quickly.
  • Typing Skills: Strong typing skills with a minimum typing speed of 35 words per minute with minimal errors.
  • Attention to Detail: Strong attention to detail is essential. You must be able to accurately input data and identify discrepancies in documentation.
  • Communication Skills: Excellent written and verbal communication skills. You must be able to communicate professionally with diverse stakeholders.
  • Organizational Skills: Strong organizational and time management skills to handle multiple tasks and meet deadlines.
  • Technical Requirements: You must have a reliable high-speed internet connection, a quiet home office environment, and a dedicated workspace free from distractions.

Preferred Qualifications

While not required, the following qualifications will give you a competitive edge:

  • Previous experience in healthcare claims processing, medical billing, or insurance verification.
  • Familiarity with medical coding (ICD-10, CPT, HCPCS) and insurance terminology.
  • Experience with electronic health records (EHR) or practice management systems.
  • Associate's or bachelor's degree in healthcare administration, business, or a related field.
  • Call center or customer service experience in a professional environment.
  • Knowledge of HIPAA regulations and compliance requirements.
