Position Overview

arenaflex is seeking a detail-oriented, highly organized, and mission-aligned ENERGY SERVICES DATA ENTRY CLERK (Typist) to join our growing remote team. Reporting to the Energy Services Program leadership, the Data Entry Clerk will be responsible for maintaining accurate, organized, and compliant digital records that support the daily operations of multiple energy assistance initiatives.

Key Responsibilities

The Data Entry Clerk at arenaflex will be entrusted with a wide range of administrative and data management duties essential to the success of our Energy Services Programs. Core responsibilities include:

  • Client Record Management: Accurately input and continuously maintain updated client status records in the Statewide Client Service Center, ensuring all entries reflect the current production pipeline and service delivery status of each household served.
  • Email and Communication Monitoring: Regularly monitor incoming emails, log documents, and track communications using the Monday.com platform, ensuring timely and organized processing of all correspondence.
  • Database Compliance: Follow established program guidelines for the use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, and In Demand, among others. Ensure all data entered complies with agency, state, and funder requirements.
  • File Organization: Maintain both digital and paper participant files in strict accordance with program guidelines, ensuring that records are organized, accessible, and compliant with agency and funder documentation standards.
  • Cross-Functional Collaboration: Work closely with program staff, case managers, and leadership to support, enhance, and promote clear communication and consistency in the delivery of energy services to clients.
  • General Clerical Support: Assist with various clerical duties as needed, including filing, preparing mailings, providing phone coverage, and other administrative tasks that support the smooth operation of the department.
  • Remote Work Availability: Maintain consistent availability for remote work, including attending virtual meetings, participating in conference calls, responding to emails in a timely manner, and conducting regular duties without interruption.
  • Meeting and Training Participation: Attend all required staff meetings, supervision sessions, training programs, and contractual meetings as scheduled by the agency.
  • Professional Development: Participate in mandatory agency training and other relevant professional development activities designed to enhance skills, knowledge, and program understanding.
  • Confidentiality: Ensure strict confidentiality is maintained in all aspects of the role, particularly with regard to client information, program data, and agency operations.
  • Related Duties: Perform related work and special projects as required to support the evolving needs of the Energy Services Programs.

Essential Qualifications

To be considered for the Energy Services Data Entry Clerk position at arenaflex, candidates must meet the following minimum qualifications:

  • Educational Background: An Associate degree from an accredited institution, or equivalent professional experience demonstrating comparable knowledge and skills.
  • Relevant Experience: A minimum of two years of experience in Human Services or a closely related field, or applicable work experience working with diverse individuals and families with low incomes.
  • Educational Substitution: Additional appropriate education may be substituted for the experience requirement, or additional directly related experience may be substituted for the education requirement, at the discretion of arenaflex.
  • Typing and Data Entry Skills: Demonstrated proficiency in accurate and efficient typing, with the ability to enter large volumes of data with precision and minimal error.
  • Technical Proficiency: Comfort and competence working with multiple database systems, email platforms, and digital file management tools.
  • Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally with colleagues, clients, and external partners.
  • Organizational Skills: Exceptional attention to detail, time management, and the ability to prioritize tasks in a fast-paced remote work environment.
  • Confidentiality Awareness: A thorough understanding of the importance of maintaining client confidentiality and data privacy.

Preferred Qualifications

While not strictly required, the following qualifications will give candidates a distinct advantage in the selection process:

  • Energy Services Experience: Prior experience working with energy assistance programs such as LIHEAP, HEARTWAP, or weatherization initiatives is highly desirable.
  • Database Familiarity: Previous experience using Monday.com, CMS, CSG eConservation, or similar program management platforms.
  • Non-Profit Sector Experience: Familiarity with non-profit operations, funder compliance requirements, and human services program administration.
