Executive Assistant (Part-Time, Remote) | 5 hrs/week to start
We're looking for an experienced EA who's comfortable working in real time alongside a founder, someone who can think, write well, and get things done across a wide range of tasks without needing a lot of hand-holding. The role This isn't just task management. The work spans email and inbox management, travel coordination, business research, home and personal logistics, making phone calls on our behalf, and anything else that needs a capable, trusted person to see it through. The tasks will vary widely, but the common thread is that they require someone who can figure out what needs to happen and make it happen. The inbox needs consistent, proactive attention, and the task landscape needs someone who can help surface what matters most each day and keep it visible. We're not looking for more tools or more steps. We're looking for fewer, and for someone who can make the ones we already have work properly. This role works best when we're online at the same time. That means being available for focused working sessions during set hours, checking in at the start and end of a block, and being reachable in real time when something needs a quick decision. If you prefer to work entirely at your own pace and check in once a day, this probably isn't the right fit. The tools in use are Monday.com, Microsoft Teams, and OneDrive. What we need from you - Genuine experience as an EA or in a similar role. We're looking for someone who has done this before and done it well. - Strong writing skills. You'll be drafting emails, communicating on our behalf, and sometimes representing us to others. The quality of your writing matters. - Critical thinking and good judgment. You'll often need to assess a situation and decide the right next step without being walked through it. - The ability to manage a high-volume inbox independently, including drafting and sending emails once you understand the voice and the context. - Strong prioritisation instincts, knowing how to distinguish between what's urgent, what's important, and what can wait. - A calm, focused working style. You ask one clear question at a time, you capture and organise rather than redirect or advise, and you know that your job is to hold the system, not shape the strategy. - Comfort with synchronous working. You're available during agreed focus windows, you check in when those blocks start, and you're responsive in real time rather than working on a 24-hour reply cycle. - The patience to work with a setup that needs tidying and build something sustainable from it. We'll start at 5 hours per week with Upwork time tracking, and scale depending on fit. There will be a short test project before we get started. To apply, please send a short video of 2 minutes or less telling us about a time you helped someone get on top of a system that had gotten out of hand. What did you do, and what changed?
