Associate Project Manager/Meeting Planner

Position Summary The Associate Project Manager (APM) is responsible for supporting execution of large scale programs working under the guidance of Project Managers (PM), Senior Project Managers (SPM) and Account Manager (AM) and owns smaller programs end-to-end, taking responsibility for execution, coordination, and client interaction. Project management skills and the ability to manage multiple clients and projects simultaneously are necessary for success in this position. Key Accountabilities: Client(s)

  • Support day-to-day client contact on large programs; act as primary contact on smaller programs
  • Ensure all clients' needs and expectations are met
  • Develop and maintain client relationships by delivering the highest level of customer service
  • Work closely with client’s dedicated partners (if applicable) to fulfill their needs; as well as communicate program needs with all vendors (i.e., Hotel, AV, DMC, etc.)

Team Collaboration

  • Maintain collaborative and positive working relationships with all peers
  • Coordinate and direct Project Coordinators on assigned tasks and deliverables
  • Support and coordinate with PMs and SPMs, focusing on executional guidance
  • Work closely with PMs and SPMs to grow and develop his/her skill set
  • Work with the team to respond to proposals, reporting requests, and special projects

Processes & Procedures

  • Create, maintain, and document client specific processes and templates within established frameworks
  • Quality control of outgoing project communications & budgets
  • Ensure that meeting/events progress seamlessly by following established procedures, collaborating with colleagues, and ensuring accuracy.

Responsibilities: Customer Service

  • Proactively respond to requests and inquiries from attendees and clients in a timely manner
  • Participate in site inspections and assist with the sales process, as necessary
  • Participate in vendor and client visits as needed

Logistics

  • Execute detailed logistics across all program elements under the direction of PM/SPM, including, but not limited to event specifications (meeting space, food and beverage, hotel rooming lists, AV, etc.), transportation, team building/special event activities, attendee management and communications, shipping materials, invoicing, and budget management
  • Own planning and execution of logistics for small programs
  • Develop all program materials (print and electronic)
  • Support the vendor RFP process, contract negotiation and management partnership

Project Management

  • Actively manage and participate in regular team meetings to review activity, sourcing, staffing and program status
  • Ensure billing accuracy (always) and conduct bill reviews with the clients prior to processing the final bill (when required)
  • Assist with the design and development of registration websites, when applicable
  • Identify operational challenges and escalate or collaborate on solutions to solve these challenges and/or develop alternative solutions
  • Apply current trends in event management and event design, where applicable

Education and Experience:

  • 4-year Bachelor’s degree preferred
  • 1 - 3 years Meeting and Event Logistics Planning experience
  • Strong understanding of event technology (Cvent certifications preferred)
  • Certified Meeting Professional (CMP), a plus

  • Event budget management skills both pre-event and financial reconciliation

Travel:

  • Travel to various destinations, including travel to international destinations, is a regular occurrence.
  • Travel length can routinely exceed five working days, often times approaching 14 consecutive calendar days while on-site.
