Key responsibilities:

1. Sales Documentation Support (Back-Office):

  • Document Preparation: Prepare tender documentation, particularly completion of forms in line with the sales department’s guidelines. Draft commercial contracts, including post-tender agreements, based on instructions from the sales department.

  • Quotation Support: Prepare commercial quotes following sales department guidelines.

  • CRM System Management: Register cases and track their timely resolution, including sending corrections and proformas as scheduled.

  • Complaint Handling: Manage the complaint process related to product quality and delivery accuracy.

  • Archiving: Organize and file electronic documents accurately within designated databases.

2. Customer Service and Communication:

  • Customer Interaction: Professionally manage incoming customer inquiries via phone and in person.

  • Helping a client complete a New Account Form.

  • Provide timely updates to customers about offers, order statuses, and delivery schedules.

3. Office Administration and Logistics:

  • Equipment Operation: Efficiently operate office equipment, including scanners, printers, and photocopiers.

4. Sales Department Support:

  • Interdepartmental Cooperation: Coordinate with the logistics department and warehouse to ensure smooth delivery fulfilment.

  • Marketing Assistance: Support marketing efforts by assisting with the distribution of promotional materials to customers and account managers.

  • Event and Conference Support: Prepare and ship event materials, monitor administrative aspects such as registration and payments, and input leads.

  • Social Media Management: Manage the company’s LinkedIn account to enhance brand presence and engagement.

Key Competencies:

  • Advanced proficiency in English.

  • Knowledge of German is an advantage.

  • Strong organizational skills with keen attention to deadlines.

  • Proficient in MS Office applications, especially Excel.

  • Experience working with CRM systems.

  • Professional and strong communication skills.

  • High level of accuracy and attention to detail.
