Solar Scheduling Specialist

About This Role

The Scheduling Specialist is responsible for coordinating and managing field scheduling activities for residential solar projects, including installation appointments, inspections, utility coordination, and related operational milestones. This role serves as a central point of communication between homeowners, field teams, subcontractors, local jurisdictions, and internal operations partners to ensure projects progress on time and with a seamless customer experience.

This position requires strong organization, attention to detail, and the ability to manage multiple moving timelines in a fast-paced, remote environment.

Overall Responsibilities

  • Serve as the primary point of contact for project-related scheduling activities, including installations, inspections, utility appointments, and other field events
  • Coordinate schedules with field crews, subcontractors, inspectors, utility companies, and internal teams to ensure readiness and availability
  • Confirm project prerequisites such as permits, materials, site readiness, access, and documentation prior to scheduling
  • Communicate directly with homeowners to confirm dates, expectations, and preparation requirements
  • Maintain accurate and up-to-date scheduling data within CRM and internal tracking systems
  • Monitor project timelines and proactively identify and address scheduling conflicts, delays, or resource gaps
  • Manage reschedules due to weather, availability constraints, customer conflicts, or project changes
  • Track milestones and ensure timely updates to support downstream activities and project progression
  • Escalate risks or issues that may impact timelines, customer satisfaction, or operational efficiency
  • Partner closely with Install, Inspections, Project Management, Engineering, Service, and Warehouse teams to maintain alignment
  • Provide professional, empathetic customer service when scheduling or timeline concerns arise

Qualifications 

  • Prior experience in scheduling, coordination, construction operations, utilities, or field services (solar or electrical experience preferred)
  • Comfortable communicating with homeowners, field personnel, municipal offices, and external partners
  • Highly organized with strong attention to detail and follow-through
  • Confident written and verbal communicator
  • Tech-savvy with the ability to learn and navigate CRM, scheduling, and operations platforms
  • Self-motivated and capable of managing priorities independently in a remote environment
  • Strong problem-solving skills and a calm, solutions-oriented mindset
  • Ability to adapt quickly in a dynamic, deadline-driven environment
