Responsibilities

As an Experienced Customer Service Representative – Administrative Support and Office Operations at blithequark, you will be responsible for:

  • Organizing office operations and assisting associates in optimizing procedures to ensure seamless day-to-day activities
  • Sorting and distributing communications in a timely manner, ensuring accuracy and validity of information
  • Creating and updating records, maintaining confidentiality and discretion as required
  • Scheduling and planning meetings and appointments, ensuring timely and efficient communication
  • Monitoring office supplies and handling shortages, ensuring minimal disruption to operations
  • Resolving office-related malfunctions and responding to requests or issues in a timely and professional manner
  • Coordinating with other departments to ensure compliance with established policies and procedures
  • Maintaining trusting relationships with suppliers, customers, and colleagues through excellent communication and interpersonal skills
  • Performing receptionist duties as needed, providing a warm and welcoming experience for customers and visitors

Preferred Skills

To be successful in this role, you will possess:

  • Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
  • Knowledge of computer systems, including back-office software and applications
  • Working knowledge of office equipment, including printers, copiers, and scanners
  • Thorough understanding of office management procedures, including record-keeping and data entry
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Analytical abilities and aptitude in problem-solving, with a focus on finding creative solutions to complex issues
  • Excellent written and verbal communication skills, with the ability to communicate effectively with customers, colleagues, and suppliers
  • Proficiency in MS Office, including Word, Excel, and Outlook
  • Knowledge of QuickBooks and Excel, with experience in data entry and financial record-keeping
