Executive Assistant to Chief Executive Officer

We are seeking a confident, proactive Executive Assistant to support the CEO of a fast-growing agency. This is a full-time, office-based role in Miami, specifically in the Brickell area. You will act as the face of the Miami office, partnering closely with their Europe team, and supporting the CEO in managing the day-to-day and strategic priorities of a rapidly expanding business.

Responsibilities

  • CEO Support: Manage scheduling, organize high-level meetings and interviews, coordinate travel, and assist with finance oversight.
  • Decision Facilitation: Research and provide best options for projects, restaurants, travel, and other executive needs bringing solutions, not play-by-play updates.
  • Office Leadership: Serve as the Miami office point of contact, supporting onboarding, welcoming new hires, organizing office lunches, and liaising with HR on processes like I-9 completion.
  • Process Management: Maintain and improve existing processes handed over from the previous EA, driving efficiency and framework development across the office.
  • Collaboration: Work closely with Miami and Europe colleagues to ensure seamless cross-office operations.
  • Special Projects: Assist in projects as needed, from client support coordination to internal initiatives, in a fast-paced, start-up-like environment.

Requirements

  • Proven EA or similar experience supporting senior executives, preferably in high-growth or start-up environments.
  • Highly confident and self-directed, with the ability to take initiative and work independently.
  • Exceptional organizational skills, capable of managing multiple priorities in a fast-moving environment.
  • Comfortable making decisions and providing solutions without requiring detailed instructions.
  • Excellent communication skills and a professional, approachable demeanor.
  • Willingness to work primarily in the Miami office (5 days/week), with occasional flexibility for remote work.
  • Morning-oriented, able to align with CEO’s early schedule.

Schedule: Monday-Friday 9am-6pm EST in office with flexibility as needed

Compensation: Up to $120,000/year DOE + benefits
